Tips for naming and filing documents

The following tips are just some ideas to help. They are not mandatory and need to fit in with the policy at your centre

  • Use Key words (consistency is important) on services that have attachments e.g. hasAttachment – as this is easily searchable in Services Search.
  • If the document is useful for multiple services – then attach the doc to the client  instead of attaching to multiple services. Alternativley – use a placeholder doc in ‘other’ services – telling them where the main docs are attached. 
  • Use naming conventions in document names to help identify and sort documents for quicker retrieval – eg use date in reverse order and develop a naming convention that ties in with the filing policy at your centre.
